Job Description

Are you sharp, dependable, and ready to build a career, not just take a job? Do you love keeping things organized and running smoothly behind the scenes? If you are looking for a role where you can learn, grow, and make a real impact on a close-knit team, then apply today to join MGA Professional Tax Advisory as our Office Coordinator!

ABOUT THE COMPANY:
MGA Professional Tax Advisory is a family-owned professional tax advisory firm located in Indianapolis. For more than 14 years, we've helped individuals and businesses with tax planning, preparation, and advisory services. Being family-owned shapes everything we do. We don't believe in one-size-fits-all service. Every client gets customized support built around their specific needs, and we take the time to know the people we serve. We bring that same care to our team. We invest in our people, help them build new skills, and create room for them to grow alongside the firm.

ABOUT THE ROLE:
The Office Coordinator is the hub of our office, keeping operations running smoothly, deadlines on track, and clients welcomed and supported. In this role you will be a hands-on team member, actively taking ownership of a variety of responsibilities. Our team values opportunities for growth and development, and are looking for the right candidate who wants a career--not just a job.  As you learn about the business, you'll have the chance to grow into light bookkeeping and tax return support. As you spot new opportunities to add value, this role can grow with you.

SCHEDULE:
Full-time, Monday through Friday. Some weekends may be needed, particularly during busy season, and will always be scheduled with advance notice.

BENEFITS:
  • Salary range of $40,000 - $55,000, based on experience
  • 100% employer-paid medical and vision coverage for the employee and one dependent (spouse or child)
  • PTO and paid holiday package
  • 401(k) eligibility after one year of service, with a 3% company match
  • Potential for profit-sharing contributions
  • Annual review process
KEY RESPONSIBILITIES:
  • Coordinate daily office operations and keep the workplace organized and running efficiently.
  • Monitor, track, and give advance notice of key due dates, including license renewals and other recurring deadlines.
  • Greet clients warmly and provide support in person, by phone, and in writing.
  • Manage incoming calls, route inquiries, and take accurate messages.
  • Maintain the mail log, which includes tracking, organizing, and distributing mail, plus regular mail runs.
  • Prepare and make bank deposits.
  • Scan, file, and organize documents accurately and securely.
  • Order office supplies and keep inventory stocked.
  • Serve as a point of contact for vendors and support vendor relationships.
  • Over time, assist with light bookkeeping and tax return support as skills develop.
  • Step in wherever needed during busy seasons; we work as a team.
IDEAL QUALIFICATIONS:
Success in this role takes someone who is hardworking, personable, and tenacious, with a willingness to rise to the challenge.
  • A bachelor's degree is preferred, but not required.
  • Smart, curious, and eager to learn, with a natural instinct to take initiative.
  • Dedicated and hands-on, with an all-hands-on-deck attitude.
  • Strong written and verbal communication skills.
  • Proficient Excel skills and ability to create a spreadsheet are required.
  • Experience with the Microsoft Office suite (Word, Outlook, etc.).
  • Highly organized and detail-oriented, with the ability to manage multiple deadlines.
  • Professional, friendly demeanor with clients and vendors.
  • Flexibility to work occasional weekends; typically in busy season when needed
  • Interest in accounting, bookkeeping, or tax is a plus.
